Step 2. Recruiting Stage

Create a job requisition

Now you’re ready to create a job requisition – the Workday process that adds the position to our careers portal. Initiate this request by notifying your department’s Talent Liaison and providing them with the position description and proof of position approval. Also include any requests for additional paid advertising and the budget code that should be used. Any paid advertising requests made after the job requisition is created should be emailed to wakejobs@wfu.edu.

Workday Job Aid: Talent Liaisons, Grant Liaisons, and Recruiters should use the Create a Job Requisition (JM or PM) Workday Job Aid to initiate a job requisition.

Email Template: Use this Initiate a Job Requisition email template to email your Talent Liaison your request. If your division or department does not have a Talent Liaison, you may email wakejobs@wfu.edu with the request.

Approve the job requisition in Workday

Once the job requisition has been initiated, it undergoes a series of approvals from essential team members across campus including the Hiring Manager, Recruiting, Compensation, and Budget. It’s imperative for the Hiring Manager to diligently monitor their Workday inbox during this time to prevent a potential delay in the posting process.

A notification email from wakejobs@wfu.edu will be sent to the Hiring Manager and Primary Recruiter Roles, informing them of the job requisition number and a few key reminders, such as:

  • As outlined in the Recruitment and Selection Policy, all positions should be posted for a minimum of three days; postings may be listed as internal only for current WFU employees.
  • As outlined in the Recruitment and Selection Policy, all hiring documentation, including employment applications, resumes, and search committee records should be retained for a minimum of five years after termination. Faculty curriculum vitae should be retained indefinitely.
  • The Hiring Manager and all search committee members should review the Inclusive Search and Selection Process Guide as well as completing the appropriate online module in Workday within the last 12 months before engaging in the recruitment and selection process.

Begin promoting the position and sourcing candidates

When a job requisition is created in Workday, it is automatically posted to Workday Career Portal (Faculty or Staff), as well as Diverse Jobs, Higher Ed Jobs, Indeed, Inside Higher Ed, and LinkedIn. In addition, Hiring Managers may also request their Recruiter coordinate additional promotional opportunities, such as:

Will the WFU-HR Recruitment team source candidates for me?

Hiring Managers should discuss sourcing needs with their Recruiter directly. Typically, the WFU-HR Recruitment team only sources candidates for director-level positions and above, or positions that have unique sourcing needs such as highly-specific education requirements, unusual industry certifications, or other essential skills that can make the position difficult to fill.
