Refresher Education Sessions

Federal Work-Study (FWS) Jobs

All Wake Forest University students are eligible for on-campus employment.

Students awarded FWS may apply for any campus job, but they should prioritize FWS-eligible listings, as some departments rely on FWS funding for their student positions.

  • Eligibility: To check a student’s FWS eligibility, run the Workday report: STU FA — Work Study Eligible on Profile. If you cannot confirm eligibility for graduate students, please reach out to Student Financial Aid. Once a student’s eligibility has been determined, you will enter the information in the Costing Allocations section during the hire process.
  • Posting Positions: If you would like to post Federal Work Study student positions in your area, please use the Learn and Earn Job Posting Submission form. View other open positions in this document. Click here to view other open positions.

Timekeeping and Payroll Guidelines

All hourly/non-exempt student workers are required to use the check-in/check-out method of time entry. They should not use the calendar-based method. This ensures compliance and accurate pay for all hours worked. To ensure student workers understand the guidelines:

  • Communicate Expectations: Meet with your student employees, either individually or as a group, to clearly explain that they are now required to check in and check out in real time for every shift. They should no longer enter hours worked after the fact.
  • Provide Resources: Review and share the Student Timekeeping job aid, which explains how to enter time in Workday.
  • Promote Effective Habits: Help your student employees build strong professional time management habits by:
    • Posting a visual reminder in a common area for them to check in and check out each shift.
    • Encouraging them to set personal reminders (e.g., Google Calendar or Google Keep) that will prompt them to check in and check out when they arrive at or leave their work location.
  • Emphasize Career Skills: Remind your student workers that effectively managing and tracking their time is a valuable career skill that they will be able to take with them when they leave Wake Forest.

Compensation Standards

Wake Forest University is committed to a compensation framework that ensures pay equity across all departments.

Recruiting and Posting Positions

This job posting model ensures a uniform look for open student positions while giving managers control over content.

Posting Workflow

1. Create your role. Use the pre-written templates and developmental goals (e.g., professionalism and technical literacy) in the Student Job Description Toolkit to ensure your posting meets University policy and includes required developmental competencies.

2. Link your content. Copy the shareable link from your job description, application (feel free to use the Student Job Application Template), or departmental website. 

3. Go live on the job board. Open theLearn and Earn Job Submission Form. Enter your job details and paste your shareable URL into the “Application Link” field. Once you select submit, your job is immediately visible to students university-wide on theWFU Learn and Earn Job Board.

4. Close the listing. After posting, save your confirmation email. When you fill the position, open that email, select “Edit Response,” change the status to “Filled/Closed,” and select Submit. The listing will be instantly removed from the student-facing board.

Performance Management and Feedback

Supervisors should give student employees feedback throughout the year to help them grow and succeed.

If a student’s work performance or behavior is not at an acceptable level, you may need to have a conversation and possibly document the issue. For guidance on how to handle these situations, please reach out to Employee Relations at hrer@wfu.edu.

Performance Issues and Conflict Resolution

If a student employee has a concern about their job, they should bring it to their supervisor’s attention as soon as possible. Supervisors are expected to make a good-faith effort to find a fair and equitable solution.

If the issue is not resolved at the department level, either the student employee or the supervisor should contact the HR Employee Relations team at hrer@wfu.edu.
